Finance and Administrative Assistant

FTXT has an immediate and exciting opportunity for a full-time Finance and Administrative Assistant. The successful candidate will report to the Managing Director and perform a variety of key roles within a 30-person team in 2021 growing to 50-100 people in the next 5 years.
Responsibilities:
•Assistant to the Financial Controller and Managing Director coordinating schedules and meetings;
•Review and process incoming invoices, including approvals, payment and filing;
•Supports all Canadian staff on using the Great Wall Motors internal administrative system in simplified Chinese;
•Acts as the floor reception, greeting guests and directs them to meetings;
•Adheres to standards of the Great Wall Motors Purchasing Policy as well as manage the office and lab supplies and ordering of goods in accordance with the Purchasing process;
•Supports FTXT-Canada purchasing process, account receivable process, logistic activities, assets tagging, monthly bookkeeping, employee attendant calendar, and timesheet process;
•Maintains accurate and up-to-date tracking lists as needed;
•Arranges travel and training for FTXT-Canada employees.
• Organizes internal and external company events;
•Receives and sends mail and packages from/to other companies;
•Other business and administrative duties as required for the FTXT-Canada team.
Qualifications:
•Degree in Business Administration or equivalent with at least 2 years in administration experience, including basic accounting knowledge and experience in bookkeeping;
•Must be fluent in spoken Mandarin, proficient in reading and writing simplified Chinese.
•Ability to work in a fast-paste environment with tight deadlines;
•Strong organizational, interpersonal and communication (both written and verbal) skills, and multi-tasking.
•Proficient computer skills, including Microsoft Office;
•Proactive, able to work independently with minimal supervision.
•Proven ability to document work (e.g. reports, presentations etc.);
•Experience in team environment, and able to collaborate with cross-functional departments.
